This document describes how the Sunhat Outdoor Services lawn care program operates. It is designed to help you understand our policies and what to expect throughout the season. Sunhat Outdoor Services is committed to providing dependable, stress-free service by utilizing clear systems and proactive communication. Our goal is to ensure your peace of mind and prevent any unforeseen problems.

I. Term of Agreement

          

This Service Agreement (“Agreement”) is effective for the 2026 calendar year and applies to all residential mowingcustomers of Sunhat Outdoor Services.

By having Sunhat Outdoor Services provide lawn care, the Client acknowledges and agrees to establish an ongoing service relationship with Sunhat Outdoor Services and commits to a minimum of three (3) completed mowing services before cancellation is permitted. 

​

After the initial three services are completed, either party may terminate this Agreement by providing written notice at least forty-eight (48) hours prior to the next scheduled service. For purposes of this Agreement, written notice is defined as an email or text message sent to Sunhat Outdoor Services’ designated company email address or company phone number. 

 

​Either party may terminate this Agreement at any time, with or without cause, provided that all services already rendered are paid in full, and any outstanding balances are settled by the termination date. 

 

II. Price Adjustments 

​

Sunhat Outdoor Services reserves the right to adjust service pricing after the completion of the initial three (3) services. Any price change will be communicated to the Client with a minimum of one (1) week notice prior to the adjusted rate taking effect. 

 

III. Exclusive Service Provider (Provider Loyalty)

​

By approving this Agreement, the Client designates Sunhat Outdoor Services as the exclusive provider for the services contracted under this Agreement. 

​

This exclusivity applies only to the services listed in the active quote. For example, if mowing services are contracted, Sunhat Outdoor Services must be the sole provider of mowing services. Other unrelated services may be provided by third parties such as lawn treatments, fertilization, hedge trimming, etc. 

​

If Sunhat Outdoor Services arrives at the property to perform a scheduled service and finds that the contracted service has already been completed by another provider—without fault, delay, or neglect by Sunhat Outdoor Services—the Agreement will be immediately terminated. 

​

If this violation occurs within the first three (3) scheduled services, the Client agrees that Sunhat Outdoor Services may charge for all three (3) minimum services, regardless of whether the remaining services were performed. 

 

IV. Scope & Frequency of Services 

​

Sunhat Outdoor Services provides lawn mowing services based on seasonal grass growth and weather conditions, following the service frequencies outlined below. 

​

A typical mowing season consists of approximately 27 service visits.  

​

Standard Service Frequency: 

  • Bi-Weekly Services: March through mid-May 

  • Weekly Services: Mid-May through September 

  • Bi-Weekly Services: October and November

​

Below is an example of the mowing visit frequency throughout the year where green represents a week we provide mowing services. Please note properties with fescue grass may require adjusted service frequency.

By signing this Agreement, the Client authorizes Sunhat Outdoor Services to use professional judgment in determining mowing practices and service execution based on lawn conditions. 

 

V. Winter Services 

​

By signing up for lawn care services with Sunhat Outdoor Services, the Client also agrees to the enrollment in winter services. Winter services are designed to keep the property presentable and cared for year-round. The Client may opt out of winter services at any time by providing written notice. 

​

The majority of Clients elect to keep winter services active, so their property remains maintained and monitored throughout the off-season. 

​

Winter services begin during the fall transition when weekly mowing switches to bi-weekly mowing. During this period, winter service visits occur on the Client’s off weeks. After mowing services end in November, winter services continue every two (2) weeks on a regular schedule until mowing resumes in March. Below is an example of the winter service visit frequency throughout the year alongside the mowing visit frequency. Green represents a week we provide mowing services, and blue represents a week we provide winter services.

Each winter service visit is billed at the same per-visit price as lawn mowing services, and Sunhat  Outdoor Services will spend the same amount of time on-site as a standard mowing visit. 

​

During each visit, we set a timer for the amount of time allocated for your winter services. We begin at the top of the list (shown below) and work our way down. If the timer goes off while in the middle of a task, we find a good place to stop. On the next visit, we start at the top of the list and continue working our way down. This is a great way to spread costs throughout the season. Instead of having one large $200–$300 leaf clean-up job; we can instead chip away at it bit by bit. After each visit, our technicians leave detailed notes on the job describing what was completed.

  • Picking up and hauling off branches and general yard debris 

  • Collecting and hauling off leaves in the front lawn 

  • Collecting and hauling off leaves in the back lawn 

  • Collecting and hauling off leaves in the front beds 

  • Collecting and hauling off leaves in the back beds 

  • Pulling weeds in landscape beds and cracks in driveways and sidewalks 

  • Trimming bushes or branches touching the home to help prevent algae growth and rodent access 

  • Edging beds and walkways 

  • Inspecting the property; if damage or issues are observed, photos will be taken and a report will be sent to the Client

Beginning with the Winter 2026-2027 season, winter services will also include one (1) gutter cleaning service during a visit in February, a service with an estimated standalone value of $200–$300. 

 

VI. Service Days 

​

Sunhat Outdoor Services provides service to residential properties on a structured route schedule. 

  • Weekly service occurs every five (5) to nine (9) days, with a target interval of seven (7) days. 

  • Bi-weekly service occurs every twelve (12) to sixteen (16) days, with a target interval of fourteen (14) days. 

​

Service days are not client selectable. 

​

For a client’s first scheduled service, Sunhat Outdoor Services will service the property on its designated route day, even if the lawn requires cutting sooner. This allows the property to align with surrounding lawns on the same route. 

​

If the lawn is overgrown at the first visit, Sunhat Outdoor Services will spend additional time cleaning up excess growth and will gradually return the lawn to a regular cutting height over the first three (3) visits. 

​

Sunhat Outdoor Services operates year-round and only suspends service on Thanksgiving Day and Christmas Day. Services are performed on Memorial Day, Independence Day (July 4th), Labor Day, and Halloween. When a scheduled service falls on Thanksgiving Day or Christmas Day, service will be completed on the next available route day. 

 

VII. Time of Service 

​

Sunhat Outdoor Services performs residential services in compliance with applicable local and HOA noise ordinances, generally between 7:00 AM and 9:00 PM. Engines will not start before 7:00 AM on weekdays. On Saturdays, engines will not start before 8:00 AM. Specific arrival times are not guaranteed. Service timing may vary based on route order, weather conditions, equipment needs, and staffing. 

 

VIII. Weather & Rain Delays 

​

Sunhat Outdoor Services does not mow during heavy rain or when soil conditions are excessively wet. Light rain and morning dew do not constitute a delay. 

​

If weather conditions require a delay: 

  • The Client will be notified of the adjusted service date. 

  • If mowing is interrupted mid-service due to sudden weather changes, the service will be completed to avoid partially mowed lawns. 

​

Weather-related delays do not reset a property’s assigned route day. 
Example: If a property’s scheduled service day is Wednesday and service cannot be completed until Friday due to excessive rain, the property will still be serviced the following Wednesday on its regular mowing day. 

​

Rain occurring earlier in the week may also shift service later. All schedule changes will be communicated. 

​

No additional or overgrowth fees will be charged because of weather-related delays. 

 

IX. Client Responsibilities (Lawn Preparation) 

​

A. Toys & Yard Obstructions 

All toys, tools, hoses, and other movable items must be removed from the lawn prior to the scheduled service. If present, Sunhat Outdoor Services will notify the Client. Continued failure may result in service termination. We will do our best to work around holiday decorations. 

​

B. Pet Waste 

All pet waste must be removed prior to service. If present, Sunhat Outdoor Services will notify the Client. Continued failure may result in service termination. 

​

C. Locked Gates & Access 

If access is restricted, the affected area will be skipped, and the full-service charge will still apply. The full-service charge helps make up for the additional time needed for the next visit to mow the overgrowth. 

 

X. Additional Services 

​

Sunhat Outdoor Services offers additional services including: 

  • Bush trimming 

  • Mulch installation 

  • Pine straw installation 

  • Debris removal 

  • Seasonal cleanups 

  • Small landscaping projects 

​

All additional services are quoted separately, itemized, and billed upon completion. 

​

A. Grass Bagging 

Grass bagging is an optional add-on. Grass bagging is not included unless specifically approved within the quote. All clippings are collected and will be hauled off site. 

 

XI. Payment Terms 

​

A. Payment Method 

All services require a valid credit card or ACH bank account on file prior to scheduling the first service. 

Charges are processed after each service visit has been completed. A receipt will be sent via email once payment is processed, showing the paid invoice and services provided. 

​

If a payment method fails, services will not continue until the balance is paid and a new valid payment method is on file. 

Unpaid balances may be sent to a third-party collection agency after thirty (30) days. 

​

If payment fails within the first three (3) services, Sunhat Outdoor Services may bill for all three minimum services, whether all services were performed. 

​

B. Processing Fees 

Sunhat Outdoor Services covers all processing fees. 

 

XII. Acceptance 

​

By signing up for services, the Client acknowledges they have read, understand, and agree to all terms of this Agreement. 

This Agreement constitutes the entire agreement for 2026 services and supersedes all prior agreements, written or verbal.
